Purpose & Objectives

Acme Inc. is bringing together its remote product, design, and engineering leads for a Q2 planning summit and team-building retreat.

Primary objectives:

  • Align on the next 2–3 quarters of product roadmap and launch milestones.
  • Strengthen cross-functional relationships and trust within the leadership team.
  • Give the team unstructured time to connect, reset, and think creatively away from screens.

The environment should feel calm, coastal, and inspiring — with natural light, outdoor access, and spaces that support both structured work and informal connection.

Program at a Glance

Day 1 • Sun Apr 7 • Arrival 13:00–18:00 Arrivals & check-in, informal coworking, resort exploration. Soft seating, lobby/lounge; optional small meeting room. Welcome refreshments in lobby (sparkling water, coffee, light snacks).
18:30–21:30 Welcome reception & opening dinner; brief remarks from leadership. Private terrace or semi-private restaurant section. Passed appetizers, plated or family-style dinner, beer/wine; elevated N/A options.
Day 2 • Mon Apr 8 • Deep Work 08:00–12:00 Roadmap deep-dives, cross-functional planning sessions. Main meeting room • U-shape / classroom, natural light. Hot breakfast buffet, continuous coffee/tea/water, light snacks.
12:00–13:30 Working lunch & breakout discussions. Main meeting room or adjacent terrace. Buffet or chef’s stations; dietary restrictions accommodated.
15:00–18:00 Signature team-building experience (outdoor, light adventure). On- or off-property with local partner. Transportation & coordination through hotel/Offsiter partner.
Day 3 • Tue Apr 9 • Wrap 09:00–12:00 Closing workshop, commitments, and feedback. Main meeting room. Breakfast, coffee service; grab-and-go options for early departures.
12:00–17:00 Departures & optional personal time on property. Lobby & common spaces. Late checkout for a subset if available.

Hotels may propose alternative flows that preserve core intent (2 full workdays, 1 signature experience block, strong F&B) while maximizing need periods and space usage.

Space, Rooms & F&B Requirements

Sleeping rooms

Expected attendance is 48 guests with a forecast range of 45–55. The team prefers mostly single-occupancy rooms with a small number of shared options.

Meeting space & A/V

One primary room for up to 50 people classroom/U-shape, plus 2–3 breakouts (10–16 people). Natural light and easy access to outdoor space are strongly preferred.

Food & beverage

Planner prefers a complete meeting package (CMP) that includes daily breakfast, lunch, two refresh breaks per full meeting day, and two dinners (welcome + one additional).

Experiences & Team-Building

The team is active and outdoors-oriented. They’re looking for a marquee experience that feels memorable without being extreme or overly corporate.

Experience preferences:

  • Coastal or forest setting with guided time outdoors.
  • Light physical activity (hiking, ropes course, surf lesson, sailing, or similar).
  • Optional smaller breakout experiences for different comfort levels.

Please include 1–2 suggested experiences (with estimated per-person pricing) that fit your property and local partners.

Local partners preferred Transportation coordinated via hotel or Offsiter Plan B for weather (fog/rain)

Commercial Terms & Decision Process

All-in budget target is $145k, inclusive of rooms, CMP, taxes, fees, A/V, and core experiences. Proposals should clearly break down:

  • Per-person pricing (preferred) with inclusions spelled out.
  • Estimated totals at 45, 48, and 55 attendees.
  • Resort fees, service charges, and any mandatory add-ons.

Offsiter will compile proposals and present a shortlist to Acme’s leadership team by Jan 24, 2026. Contracts will be signed directly between the hotel and Acme, with Offsiter supporting coordination end-to-end.
